Must Read For 2014 Year-End

In earlier versions of Sage 100 it was standard practice to print 1099, W2 and 941 forms by going through the reports or period end folder. The forms were available to print by selecting them on the appropriate task. However, Sage has developed a more streamlined method for 941 reporting and yearend tax processing using e-Filing and Reporting. E-Filing and Reporting became available in Sage 100 version 4.3 and many users have already begun to use it. It is important to note though that as of 2014, the e-Filing and Reporting will be the only method available for printing and filing 1099s, W2s and 941 forms. Additional FAQs will follow, but here are some important tips.

  • Sage 100 users must be on version 4.5 or higher
  • You will be required to use blank, perforated forms for your W2s and 1099s – Do not purchase pre-printed forms
  • The original electronic reporting module in Sage 100 is no longer an option for e-filing
  • All e-filing for 2014 will be through Aatrix
  • You will still be encouraged to create a historical company at year end
  • You will still be required to print/process W2s before you can load the 2015 payroll tax tables
  • All W2s and 1099 forms will be printed with Aatrix
  • You must be current with your Sage Business Care Plan (maintenance) to access Aatrix
  • Oasis will offer informational webinars beginning in October

-What is e-File and Reporting?

The state and federal payroll and 1099 reporting allows you to complete over 250 state and federal unemployment, withholding, and new-hire reports from the data produced by Sage 100 ERP Payroll and Accounts Payable modules. This eliminates the need to create these reports and forms manually. Once completed, reviewed, and edited on screen, they are printed on plain paper, ready to be mailed-or e-File in minutes.

e-Filing and reporting is also included with the Payroll and Accounts payable modules. State and Federal reports and forms including W2s and 1099s can be printed and mailed to the agency or e-File using Aatrix. When the forms are electronically filed, a fee is charged by Aatrix, with credit card payment required.

Activation does require an active Sage Business Care plan and you will be prompted every six months to activate.

-Installation of Federal and State e-Filing and Reporting- FYI

  • You must install Federal and State e-Filing and reporting on each individual Sage 100 workstation.
  • Do not install on Server. Exception to this rule is a Terminal Services environment where the server is used as a work station.
  • Automatically installed to C:\Program Files\Common Files\Sage\Aatrix
  • An internet connection is required.

As of Sage 100 ERP version 2013, if the workstation does not have e-Filing and Reporting installed and the user selects e-Filing and Reporting task from within Payroll or Accounts Payable modules you receive a prompt telling you it needs to be installed.

-W2 Printing and Filing options

  • Once you have completed the steps in the W2 Preparer, you are able to select your processing options. You can select to e-File or print your own W2s or a combination of both. If selecting Other Options and Print my Employee W2s, you will need to use blank perforated 4 per page W2 forms. These forms should have a blank front and the Notice to Employees pre-printed on the back of the form. These forms can be purchased from Sage Forms division or most office supply companies.
